Charlotte Pride is the leader in LGBTQ visibility in Charlotte and the Carolinas. Charlotte Pride presents and collaborates on programs, projects, and activities, including the annual Charlotte Pride Festival and Parade, Charlotte Latine Pride, Charlotte Trans Pride, Charlotte Women’s Pride, Charlotte Pride Interfaith Programs, and Reel Out Charlotte, The Queen City’s Annual LGBTQ Film Festival, among others. Reports to: Managing Director
This position is responsible for the day-to-day management of Charlotte Pride’s operations and finances. The person in this role will be tasked with identifying and implementing the best processes and practices for operational, office, and financial management. Duties include inventory management, bookkeeping, financial record-keeping, and process management, as well as logistical planning and coordination for all programs, including an annual festival and parade for 260,000 attendees, along with teams of finance, and operations, and logistics volunteers.
The operations and finance manager will work closely with the board treasurer to manage the processes for accounts payable and accounts receivable functions, as well as the banking and safeguarding of company funds.
This is a new position for Charlotte Pride that is needed to support, enhance, and streamline the day-to-day work and operations of the organization. This person will create and implement protocols, procedures, and best practices for the organization to protect and strengthen its structure and function. This person will report to the managing director and will collaborate closely with the programs coordinator and communications manager to assist and bolster their work.
Responsibilities:
To ensure the continued success and seamless functioning of our organization and its programs, the operations and finance manager will support the operations and logistics, finance, and office management functions of the organization as required — including (but not limited to) the following duties:
Operations & Logistics
• Select and manage external vendors and contractors to ensure seamless event implementation
• Deploy resources to produce well-executed public-facing events and programs
• Recruit, retain, manage, and train a team of volunteers to implement operations and logistics for Charlotte Pride’s annual festival and parade
• Identify means to increase the quality, efficiency, and efficacy of logistical and operational support functions for programs and implement best practices
• Ensure operations are carried out in an effective, targeted, and cost-effective manner
Finance
• Track the organization’s finances and keep books (expenditures and income) up to date
• Systematize, maintain, and enforce financial systems and policies
• Work closely with the board treasurer to ensure effective control and oversight of the organization’s treasury activities
• Oversee third-party financial and treasury functions
• Prepare regular financial statements for the board and managing director working closely with the board attorney and treasurer to help ensure that the organization’s processes remain legally compliant
Office and Organizational Management
• Manage and maintain organizational file structure on SharePoint
• Update and maintain the organization’s email lists for staff, board, and volunteers
• Track and maintain inventory of office supplies, including office, storage locker, and kitchen supplies
• Working with staff and volunteers, to ensure storage locker inventory is organized to create greater efficiency and results when programs are implemented
Qualifications and Experience:
• Proficiency with QuickBooks and Excel
• Analytical, with a careful attention to detail
• Excellent communicator with a passion for team and stakeholder relationship management
• Effective mentor with demonstrated ability to cultivate a well-run volunteer team and to train, mentor, and supervise
• Action-oriented, with the ability to think creatively to adapt to unpredictable and tense circumstances
• Ability to work independently, while also working with and engaging others who are aligned with Charlotte Pride’s mission and goals
• Resourceful, self-motivated, and adaptable, with an affinity for multi-faceted, varied work
• Able to execute tasks that require physical labor, including packing, unpacking, and lifting, and working outdoors under varied conditions
• 1-2 years experience in inventory, supply chain, and operational management
• Knowledge of operational management systems, processes, and best practices
• Ability to analyze financial data and interpret it to identify and measure ways to improve profitability
• Experience managing budgets and making financial forecasts
• Energetic, with a passion for Charlotte Pride’s mission and inclusive values
• Results-driven with a strong motivation for finding avenues to increase the quality of customer service and streamline processes for better functionality and outcomes
• Ability to lift up to 50 pounds and ability to push, pull, and stand for long periods.
• Electrical expertise and ability to operate heavy machinery is desired
• High school diploma required, bachelor’s degree preferred
